    Fix Wireless Printer not responding on Windows 11

    Wireless Printer sounds attractive compared to Wired Printer. Since it can access from any device, it adds to the convenience. Wi-Fi printers work well when connected to the Home Network. However, not all Wi-Fi printers work every time. Wireless Printers are just like Wired Printers. They also have some problems. They can be seen on the network, but they won’t print. If a setting is accessed, it becomes unresponsive. The below steps will guide you on fixing problems with wireless printers that aren’t responding.

    These will help you set the Printer quickly and without calling someone.

    1. Fix Wireless Printer not responding on PC
    2. Check basic Perform
    3. Restart PC, WIFI router and Printer
    4. Troubleshoot the Printer
    5. Make printer IP address static.
    6. Check Router settings.
    7. Disable VPN connections.
    8. Check Firewall Settings.
    9. Change your SSID.
    10. Uninstall and reinstall the Printer.
    11. Uninstall and reinstall printer driver and software.
    12. Reset print spooler.
    13. Reset your Printer.

    Perform Basic Check

    Before we think the Printer has problems, you must have a few things in order. You make sure that the Printer is on, connected to the same network, your computer is both on the same network, your Wi-Fi is on. No other devices are using the Printer. It can check easily.

    Restart PC, WIFI router and Printer

    You can solve the problems by restarting both the PC and the Printer. It may be a temporary problem that rolled out, such as
    reconnection to the network, and a printer bug not permitting you to connect to the Printer.

    Run The Printer Troubleshooter

    • Click on Start button and select Settings.
    • SettingsGo to Device, then click on Printer & Scanner.
    • DeviceAfter that, go to Open troubleshooter settings.
    • Open troubleSelect Additional troubleshooters and click on the Printer option.
    • AdditionalThen, click on Run the troubleshooter.

    Make The Printer IP Address Static

    An IP address is assigned to devices that are connected to the router. This dynamic IP address can change each time a printer connects to the router. Although it is usually reliable, dynamic IPs can cause problems. It is best to give a fixed, static IP to the Printer.
    It can only be done through the Router settings. First, locate the Printer in your connected device list. Next, set up a static IP. This process may vary from one router to another, so be sure to read the manual.

    Check Router Firewall Settings

    You may be able to see if your router is blocking you from connecting. A firewall setting or accidental blocking could cause this.
    You can log in to the router via the computer or the app on your smartphone. Check the firewall settings and device list to see if any devices are blocked. You may now see a printer icon beside the router.
    Other than that, make a few additional checks. You can reconnect if you have updated ISP settings, changed router passwords, or any other device that requires Wi-Fi to be connected.

    Wi-Fi Network Name

    It happens most often when you use a Desktop and have changed the Wi-Fi name. Your PC works fine over Ethernet, but your router is missing.
    After changing the name, you will need to connect all devices again because it is a new network. Printers are often neglected or left out of the list because they aren’t used frequently.
    It is possible to set up a name identical to another SSID. The Printer will not authenticate because it won’t be confused. You will need to change the Wi-Fi network name to something unique in this instance.

    Disable VPN Connections

    The IP settings of a VPN change, and the computer may no longer be part of the network. The Printer will not be available to the computer as a result. It might appear in your printer list, but it will not be available to you.
    Turn off VPN software if you use it. Disable VPN software installed in Windows.

    Check with Security Software

    Sometimes security software may be so restricted that it blocks access to the Printer. Check the Firewall settings to see if any incoming network settings are blocked. This will allow you to receive feedback from the Printer.
    Firewall settings in Windows are associated with the Windows Security system. You can check the Firewall notifications, Inbound and Outbound settings of the advanced firewall. You should immediately notice anything that appears blocked and verify if it is a printer.
    It is best not to turn on any blocked software without fully understanding its limitations. You may need to review the settings for third-party services.

    Reinstall Printer, its Driver and Software

    If the connection is good, you can reinstall the Printer and any associated driver.

    • Find the Printer in the Windows Settings Devices section and then uninstall it. You will see the Remove button When you click on it. It will locate next to your printer name.
    • After that, you can delete any associated software.
    • Navigate to Settings > Apps > Features and Apps.
    • Please scroll down and locate the software.
    • Click on Uninstall to delete it.
    • Now you can install the Printer once again. It would help if you chose a Network Printer to add the Printer. After the Printer is added, the OEM software can be installed to install the driver.

    Reset Print Spooler

    Print Spooler service controls all printing tasks and processes. The Printer might not respond if this happens. You can clear the print spooler or reset it and start over.

    • Press Windows key + R, then type services.msc and hit Enter key.

    • Find Print spooler, then right-click and select Stop.

    • Minimize and open File Explorer then navigate to the following folders:
    • %WINDIR%\system32\spool\printers
    • %WINDIR%\system32\spool\PRINTERS

    Move to the folder

    • After that, remove all files inside it.
    • Right-click and start the Spooler services by opening Services windows.

    • Make assured Print Spooler properties set to Automatic.

    Reset Your Printer

    It’s time for the Printer to reset if nothing else works. Many Wi-Fi printers have a display to help you locate the reset option within the UI. All settings, including Wi-fi connections that you have set up in your Printer, will be deleted when used.
    It is also known as a factory reset. It is possible to find the manual on the OEM website. The manual should contain all the details on how to reset your Printer.

    Not Responding could have many meanings. It could indicate that a printer is not connected to the network. However, for others, it could mean that the Printer is having problems printing as it should.
